RefTraq BETA

Terms of Service

Last updated October 24, 2026 · RefTraq beta

The rules for using RefTraq, in plain language. What we keep and who sees it is in the Privacy Policy.

  1. The service. RefTraq turns the schedules and records you provide into organized pay, mileage and tax records, and lets you share pictures of your own seasons. It is a beta: features change, and availability isn’t guaranteed.
  2. Your account. You must be 18 or older. You sign in with your email (or Google, where offered), and you’re responsible for what happens under your account. You’re responsible for the accuracy of what you enter: RefTraq computes from your inputs and from public IRS rates, but doesn’t verify your records.
  3. Not tax, legal or accounting advice. Every number RefTraq produces is an estimate for your tax professional to verify. The Deduction Review and the tax guides raise questions to take to an advisor; they are not rulings. You’re responsible for your own filings.
  4. What you may bring in. Only your own:
    • calendar links;
    • spreadsheets of your own work;
    • photos of checks paid to you and receipts for your own spending;
    • bank or card accounts you’re entitled to link.

    Don’t add someone else’s calendar link or records unless they asked you to.

  5. Other officials. The crews on your games name other people. Keep them in your account for your own records. Don’t use RefTraq to contact, rank or publish other officials. A season or career card you share names nobody but you, and you only if you switch your name on. A game card you print lists the crew and their positions, for the two teams at that game.
  6. What you share. A season card is yours to post, and you choose where it goes. Its link credits you when somebody joins from it, which can earn you referral points (the next section).
  7. Referral points. While the program is running:
    • A friend who joins with your link earns you a point once they have connected a real schedule and are still using RefTraq two weeks after signing up. Once RefTraq charges for a subscription, a new friend counts when they subscribe. Points you earned before then stay yours.
    • One point is one free month of a paid subscription. You can use points once RefTraq starts charging, or save them.
    • Ten saved points buy a lifetime membership, if you reach ten by the date printed on your points page. That offer ends on that date.
    • Every 25 friends who pay for RefTraq earn a $250 gift card. Before we send a gift card that would bring what you’ve received from RefTraq past $600 in a calendar year, we’ll ask you for a W-9, because we may have to report it to the IRS. Gift cards can be taxable income to you.
    • Your friend gets their first month free when their own plan starts.
    • Points aren’t cash, can’t be sold or moved to another account, and end if your account is deleted. Referring yourself, or accounts made only to earn points, doesn’t count, and we can remove points earned that way.
    • When you share your link, say that you earn something if your friend joins. The message RefTraq writes for you already says so.
    • We can change or end the program going forward and will say so here first. Points you have already earned, and a lifetime membership you have already claimed, are honored.
  8. Your content. Your records stay yours. You allow RefTraq only what it needs to run the service for you: storing, syncing, computing, exporting, and sending the pieces described in the Privacy Policy to the providers named there.
  9. Your ideas. If you send us a suggestion, an idea or other feedback, we may use it to improve RefTraq freely, without owing you anything for it. That covers what you tell us, never your records: those stay yours, as the section above says.
  10. Other services. Plaid, Google, Cloudflare and your assigning platform have their own terms. RefTraq isn’t affiliated with any assigning platform and can’t control what their calendar feeds contain.
  11. Pricing. RefTraq is free during the beta. If that changes, we’ll tell you before it does. Free access RefTraq promised you is honored as it was recorded.
  12. Leaving. You can leave any time: export your records, then ask us to delete your account (see the Privacy Policy). We can suspend accounts that abuse the service or other people’s data.
  13. Warranty and liability. The beta is provided as it is, without warranties. To the extent the law allows, our liability is limited to what you paid for the service, which during the beta is nothing.
  14. Agreeing, and changes. You agree to these terms once, by checking a box when you create your account (or the first time you sign in, if your account is older than the terms), and RefTraq records which version you agreed to and when. When we change them, we post the new version here with a new date and tell you in the app. You don’t need to agree again: continuing to use RefTraq after a change takes effect means you accept it. A change to what RefTraq costs is told to you before it applies, as Pricing above says.
